Air conditioning maintenance: a guide for pros

What customers ask, how to win the job, and what to put on your profile.

Offering air conditioning maintenance

Maintenance is recurring work that keeps a customer on your schedule, and it works best when the visit is a measured, documented check instead of a quick clean. The customer should leave knowing exactly what was tested and what needs attention.

What customers ask

  • What do you actually check in a maintenance visit?
  • Do I need this every year?
  • Will this catch a problem before the summer heat?
  • Can you clear the drain line while you are here?
  • Why do you check the refrigerant level if it is not low?
  • How long does the visit take?

How to win the job

  • On the booking call, ask the system's age, brand and model, the last service date and whether it cooled well last season.
  • Bring a coil cleaner, a fin comb, a drain flush kit, a gauge set, a clamp meter and a multimeter to cover the full visit.
  • Record the pressures, superheat or subcool, voltage and amp draw on the work order before you adjust anything.
  • Photograph the coil and the drain line before and after cleaning.
  • Put each maintenance step on the quote with the readings you took, and mark any recommended work as optional.
  • If you find a failing capacitor or contactor, show the customer the part and the test reading that proves the failure.

What to put on your profile

  • Before and after photos of coil cleaning on an outdoor condenser and an indoor coil.
  • A sample maintenance checklist, so customers see the steps before they book.
  • The brands and systems you service, including heat pumps and ductless units if you work on them.
  • Your booking windows for the cooling season.
  • Your refrigerant handling certification status, listed only if you hold it.

Follow-up that helps the customer

  • Send a written report with the readings and the date of the next service.
  • Remind the customer about the next maintenance visit before the next cooling season.
  • After the first hot week, call to confirm the system cools evenly and has no new noise or water.

Licenses and permits

Air conditioning maintenance is commonly done under a contractor or technician license, and refrigerant work commonly requires a certification. Confirm your licensing and permit requirements with your state or local licensing agency before you take service work.
