Office moving: a guide for pros

What customers ask, how to win the job, and what to put on your profile.

Offering office moving

Office moving is judged on how quickly the business is back at work and whether equipment and files arrive intact. Winning it means a floor plan, a phased schedule and a clear split of responsibilities with the client's IT provider.

What customers ask

  • How long will my team be down
  • Can you move on evenings or weekends
  • Who disconnects and reconnects the computers
  • How do you protect sensitive files
  • What happens if a server rack or a printer is damaged
  • Can you work to our floor plan

How to win the job

  • On the first call, ask for the floor plan, the number of workstations and the target move date, then book a site survey
  • Plan the move in phases with each team's schedule, and send the plan to the office manager before move week
  • Quote disconnection, the move, the reconnection and the labeling as separate lines
  • Set the chain of custody for sensitive files in writing, and use sealed and labeled boxes for records
  • Label each workstation and box with its new room and team, and keep a master inventory the office manager can check
  • Test each team's workstation and network connection on move day, and sign off the setup with the office manager

What to put on your profile

  • Photos of an office move with labeled workstations and sealed record boxes, with the client's permission
  • A list of office move types you handle, such as phased moves, after-hours moves and single-floor moves
  • Your equipment list, including furniture dollies, cable management tools and label printers
  • Your insurance certificate and your process for handling records and equipment

Follow-up that helps the customer

  • Offer a post-move walkthrough one week after the move to fix any setup issues
  • Suggest a yearly office layout review as the team changes, quoted as a short visit
  • Share a short checklist for the first week in the new space so the team knows where things are

Licenses and permits

Office moving is commonly done by insured moving companies. Check with your state or local licensing agency for business registration you need, and refer any electrical, network or cabling work to a qualified trade.

Questions

Should I reconnect computers as part of the move?

Only if you have the right training and the client agrees in writing. Otherwise coordinate with the client's IT provider on a set date and time.

What if a workstation is missing a part after the move?

Use the master inventory and the labels to trace it. Report the missing item in writing and work with the client to find it.
