Event venue: what to know
What the job involves, what changes the price, and what to ask a pro.
What event venue is
An event venue provides a space such as a hall, barn, garden or banquet room for weddings and parties, often with tables, kitchen access and coordination staff. Hosts book a venue when they need a space that can hold the guest count and the style of event they plan.
Signs you need it
- Your guest count is too large for a home and you need a space that can hold everyone
- You want a particular look, such as a barn, a garden or a banquet hall
- You need a kitchen, tables and a coordinator included with the space
- You want an indoor space in case of rain for an outdoor event
- You need a space that is available for the full day, including setup and cleanup
What the pro does
- Shows you the spaces, the layout options and the capacity for your event
- Checks the date and the hours available for setup, the event and cleanup
- Sets out the rules for vendors, decor, food, alcohol and music
- Provides tables, chairs, linens or a kitchen, if included in the booking
- Assigns a coordinator or staff member for the event day
- Walks the space after the event and returns it to the agreed condition
What changes the price
Every job is different, so we do not publish prices. These are the things that move the quote up or down.
- Guest capacity and the size of the space
- Date and time, including weekends and holidays
- Setup and cleanup hours included in the booking
- Included items such as tables, chairs, linens, kitchen access or a coordinator
- Whether the venue allows outside vendors or requires its own
- Insurance and deposit terms the venue requires
What a written quote should spell out
- Space, the hours included and the setup and cleanup window
- Tables, chairs, linens and kitchen access, if provided
- Coordinator or staff hours and their role on the day
- Rules for outside vendors, food, alcohol and decorations
- Deposit, cancellation terms and what happens if the date moves
Questions to ask before you hire
- What is the maximum guest count for a seated dinner and for a standing reception?
- What hours are included, and what is the charge if we run late?
- Are we allowed to bring in outside caterers, florists and decorators?
- Do you provide the tables, chairs, linens and kitchen, and what must we bring?
- What are the rules on alcohol, music, candles and open flame?
- Do you require event insurance from us, and how do we provide it?
Red flags
- Will not share the rules for outside vendors before you sign
- Cannot say what hours are included in the booking
- Pushes you to use only their caterer or their decorator with no reason given
- Has no written terms for cancellation or for a date change
- Does not show you the space in a layout that matches your guest count
What you can do yourself
A host can plan a small gathering at a park shelter or a community room by booking early, following the site's rules and bringing a simple menu and decor. Hire a full event venue when the guest count is large, the event needs a kitchen, tables or a coordinator, or the space must hold up through a full day of setup and cleanup.
Licenses and permits
Venues that host guests commonly need approval from the local building office for their guest capacity and safety. If the venue serves food, food businesses commonly need a health permit or food handler card from the local office that oversees food safety. If it serves or allows alcohol, a license or permit is commonly required. Ask the venue for its approvals before you book.
Event venue questions
Can I bring my own caterer?
Some venues allow it and some do not. Ask the venue before you book, and get the rule in writing, because it may limit your food choices.
What should I ask about insurance?
Ask whether the venue requires event insurance, what coverage it needs, and whether you can add it to your own policy or buy a short term policy.
Who cleans up after the event?
Ask whether cleanup is included in the booking, and what the venue expects from you before you leave. Confirm this in the agreement.
