Party planning: what to know
What the job involves, what changes the price, and what to ask a pro.
What party planning is
A party planner handles the theme, invitations, food, entertainment, decor and setup, so the host can greet guests instead of running the event. People hire one for milestone birthdays, anniversaries, holiday parties and gatherings that feel too big to run alone.
Signs you need it
- You want a themed party but do not have time to source decor, food and entertainment
- The guest list is long enough that you cannot host and manage the setup at once
- You need the party at a venue you have not seen before
- You want the party to look finished without spending the day on details
- You have an invitation deadline and no plan for sending or tracking replies
What the pro does
- Talks with you about the theme, guest list, date and the feel you want
- Plans the menu and drinks, with a caterer or food vendor when needed
- Sources decor, rentals and entertainment, and confirms each booking
- Designs and sends invitations, then tracks replies against the guest list
- Sets up the space and checks it before the first guest arrives
- Manages the schedule on the day and cleans up after the party ends
What changes the price
Every job is different, so we do not publish prices. These are the things that move the quote up or down.
- Guest count and how long the party runs
- Whether the party is at home, at a rented hall or at a venue with its own rules
- How elaborate the theme is, including custom decor or printed pieces
- Entertainment type, such as a band, a DJ, a magician or organized games
- Food service, from drop-off trays to a staffed buffet
- Whether the planner stays for the whole party or only sets up
What a written quote should spell out
- Each vendor included, such as food, rentals, decor and entertainment
- Who books each vendor and who pays them
- Invitation design, printing and mailing, if those are part of the work
- Setup and teardown times, and whether cleanup is included
- What happens if the guest count or the date changes
Questions to ask before you hire
- What parties like mine have you planned in the past year?
- Can you show me theme ideas for my event before I commit?
- Which vendors do you use, and can I meet them before I book?
- How do you handle RSVPs and guests who bring extra people?
- Who will be on site during the party, and who do I call if something goes wrong?
- What happens to my deposit if I need to move the date?
Red flags
- Wants full payment before showing a theme idea or a vendor list
- Cannot explain how the food will be handled for your guest count
- Has no plan for a shared venue that is also hosting other events
- Promises a theme that depends on rentals they have not confirmed
- Will not put the setup and teardown scope in writing
What you can do yourself
You can host a simple party yourself by choosing a theme, sending invitations and ordering food from a store or a single caterer. Hire a planner when the guest list is large, several rentals or entertainers need coordinating, or you want to be a guest rather than the person running the party.
Licenses and permits
No license is usually required to plan parties. Ask for proof of liability insurance and a written contract that lists each vendor and who pays them.
Party planning questions
Is a party planner worth it for a birthday?
It can be, when the party has many parts or the host wants to attend as a guest. For a small get together, a vendor list and a clear timeline may be all you need.
Who books the entertainment?
That depends on the contract. The planner may book it for you, or you may book it yourself and the planner confirms arrival and setup. Ask which applies before you sign.
Can a planner work with a theme I already picked?
Yes. Share your inspiration, colors and must-have items at the start so the planner can build the decor, food and invitations around them.
