Fundraising event planning: what to know
What the job involves, what changes the price, and what to ask a pro.
What fundraising event planning is
A fundraising event planner organizes galas, auctions and benefit events, handling the venue, the program, donations, sponsors and the guest experience. Nonprofits and community groups hire one when the event has to raise money as well as entertain guests.
Signs you need it
- Your group is holding a gala or auction and needs sponsors and donors managed
- The event has a fundraising target that depends on the program running well
- Your volunteers are busy with the cause and cannot run the event too
- You need a silent auction, paddle raise or donation appeal built into the night
- Sponsor logos, recognition and guest lists must be tracked and delivered on time
What the pro does
- Sets the fundraising goal, the guest count and the budget with your board or committee
- Chooses a venue and plans the floor layout, stage, bar area and check in
- Builds the program with speeches, the auction, the appeal and the timing
- Manages sponsor packages, donor recognition and printed materials
- Coordinates catering, entertainment, auction items and the bidding system
- Runs the night on site and reports the final totals to the organization
What changes the price
Every job is different, so we do not publish prices. These are the things that move the quote up or down.
- Guest count and the level of formality of the event
- Whether the event includes an auction, a live appeal or a dinner
- Number of sponsors and the recognition each package includes
- Venue type and whether it provides tables, linens and staff
- Entertainment and the amount of staging and audiovisual support needed
- How many volunteers the planner must train and manage on the night
What a written quote should spell out
- Each service, such as venue coordination, program design and sponsor management
- Which vendors the planner books and which the organization books directly
- The auction or donation process the planner will run or support
- On site staffing hours and the number of volunteers the plan requires
- Who owns the donor and guest data and how it is shared after the event
Questions to ask before you hire
- What fundraising events have you planned for organizations like ours?
- How do you help us reach our fundraising goal, and who sets that goal?
- How will you track pledges, payments and sponsor deliverables?
- Which auction or bidding system will you use, and who runs it on the night?
- Who on your team will be on site, and how do you train volunteers?
- How do you handle donors who ask for a receipt for their gift?
Red flags
- Promises a fundraising total without knowing your donor list or past results
- Plans to keep sponsor money in a personal account
- Cannot show how sponsor recognition will be delivered
- Has no plan for the auction items or the bidding process
- Will not sign a written agreement that covers the event's responsibilities
What you can do yourself
A committee can plan a small bake sale or trivia night with a clear goal, a volunteer list and one simple donation method. Hire a planner when the event has a gala format, sponsors to manage, or an auction that needs a bidding system and someone to run it on the night.
Licenses and permits
No license is usually required to plan fundraising events. Ask for proof of liability insurance and a written contract. Raffles, games of chance and alcohol service often have their own permit rules, so check with the local office that oversees them before you sell tickets or serve drinks.
Fundraising event planning questions
Does a fundraising planner guarantee the total we raise?
A planner should not guarantee a total. A good planner sets a realistic goal from your donor list and past results, then works the plan to reach it.
Who owns the sponsor relationships?
Your organization should own them. Ask the planner to keep sponsor contacts in a shared file that your staff can access after the event.
Can we run the auction ourselves?
Yes, with a trained volunteer team. Ask the planner for the auction plan and a short training session so your volunteers know the process before the night.
