Wedding planning: what to know
What the job involves, what changes the price, and what to ask a pro.
What wedding planning is
A wedding planner helps a couple set the budget, choose and manage vendors, build the timeline and keep the details on track from the first booking to the final thank you notes. Couples often hire one when the planning has grown bigger than their schedule or when family is involved in decisions.
Signs you need it
- You have a date and a budget but keep stalling on which vendors to book
- Family members have strong opinions and you need a neutral person to coordinate them
- You are planning from a distance and cannot visit venues often
- Vendor emails, contracts and payment dates are spread across too many inboxes
- You want a plan that covers the whole day, not just the venue and the cake
What the pro does
- Meets the couple to set the vision, guest count, budget and priorities
- Builds a planning timeline with monthly milestones leading up to the wedding
- Shortlists and compares venues, caterers, photographers and other vendors
- Negotiates and tracks vendor contracts, deposits and final payments
- Creates the day-of schedule and shares it with every vendor
- Confirms details in the final weeks and follows up on any open decisions
What changes the price
Every job is different, so we do not publish prices. These are the things that move the quote up or down.
- Guest count and how many events are part of the wedding
- Whether the planner works from start to finish or only in the final months
- Number of vendors the planner must find, book and manage
- Venue distance and whether the planner must travel for site visits
- Custom work such as printed pieces, custom decor or a complex menu
- How many planning meetings and revisions the couple expects
What a written quote should spell out
- The planning stage covered, such as full planning or partial planning
- Which vendors the planner will book and which the couple books directly
- Number of meetings, site visits and any travel included
- Payment schedule, deposits and what is refundable
- How changes to the guest count or the date are handled
Questions to ask before you hire
- How many weddings have you planned at our venue or in our season?
- Which planning stage do you start with, and what do you need from us first?
- Will you book vendors on our behalf, or only recommend them?
- How do you keep vendor contracts and payments organized for us?
- What is your plan if a key vendor goes out of business or cancels?
- Who will be on our side on the wedding day?
- Can we speak with a couple you planned for in the last year?
Red flags
- Guarantees your preferred vendor is free on your date without checking
- Suggests vendor payments that you would not see in writing
- Has no written timeline for the months before the wedding
- Pushes you to sign a contract before you have seen their plan for your wedding
- Will not explain what happens if you cancel the contract
What you can do yourself
A couple can plan a small wedding themselves with a clear budget, a short guest list and a few vendors they trust. Hire a planner when the wedding is large, the couple is planning from far away, or family disagreement is slowing decisions. Keep the decisions the couple's own, even with a planner.
Licenses and permits
No license is usually required to plan weddings. Ask for proof of liability insurance and a written contract that spells out which vendors the planner books and who pays them.
Wedding planning questions
When should we hire a wedding planner?
Ideally before you book the venue, so the planner can help choose a date and space that fits your budget and the vendors you want.
Do planners handle the wedding day too?
Some do and some do not. Planning the months before a wedding and coordinating the day itself are different services. Ask which one you are buying.
Can we hire a planner for only part of the work?
Often yes, such as help with vendor selection and a timeline without full time management. Ask what each option includes.
