Destination wedding planning: what to know
What the job involves, what changes the price, and what to ask a pro.
What destination wedding planning is
A destination wedding planner organizes a wedding in another location, coordinating travel, the venue, local vendors, paperwork and guest logistics. Couples hire one when the wedding is far from home or when most guests will need to travel.
Signs you need it
- Your venue is in a place you cannot visit often before the wedding
- Most of your guests will need flights, lodging and ground transport
- You need local vendors you have never worked with before
- You are not sure what paperwork the destination requires to marry there
- You want a plan for the guests who cannot make the trip
What the pro does
- Reviews the venue, the local vendors and the travel options at the destination
- Sets up a guest travel page with room blocks, flight tips and transport plans
- Coordinates local vendors and reviews their contracts for clear terms
- Organizes a checklist of the paperwork the couple must complete, with deadlines
- Arranges welcome events, group transport and guest activities
- Visits the site in person when possible and confirms each vendor before the trip
What changes the price
Every job is different, so we do not publish prices. These are the things that move the quote up or down.
- The destination and how many vendors must be sourced there
- Number of guests and how many need travel help
- Whether the planner must travel to visit the venue and vendors
- Number of events, such as welcome dinners and farewell brunches
- Any paperwork or permits the planner must help manage
- Whether the planner handles only the wedding or also guest travel
What a written quote should spell out
- Each vendor the planner will book at the destination, and which steps need your approval
- Site visits included, with how many and where
- Guest travel support, such as a room block arrangement or a guest page
- Who handles deposits and refunds for vendors at the destination
- Which paperwork the planner will track and who is responsible for filing it
Questions to ask before you hire
- Have you planned weddings at this destination, and which venues did you use?
- Can you visit the venue, or send a recent video walkthrough?
- How do you check that a local vendor is reliable and insured?
- What paperwork does the destination require, and who will help us track it?
- How will you help a guest who is sick or misses a flight?
- Who is on site during the wedding, and who do I call from home?
Red flags
- Cannot name a local vendor they have used at that destination
- Has not checked the venue's availability or its rules for outside vendors
- Asks for all payments to go to one account with no written contract
- Describes a paperwork process without saying what the destination requires
- Will not put you in touch with a couple who married at the same destination
What you can do yourself
A couple can plan a small destination wedding themselves by choosing a venue with a clear guide for outside vendors and asking the venue which local vendors it trusts. Hire a planner when the wedding is large, the couple cannot visit the site, or the paperwork and vendor coordination are more than they can manage from home.
Licenses and permits
Marriage paperwork and who may perform a ceremony depend on the place where you marry. Ask the planner what the destination requires and check with that place's official office. No planner license is usually required, so ask for proof of liability insurance and a written contract.
Destination wedding planning questions
Can I plan a destination wedding from home?
Yes. A planner with strong local contacts can handle most of the work from a distance, but at least one site visit is worth the trip if you can make it.
Who handles the guest travel?
That depends on the contract. The planner may set up a guest page and room block, or you may handle travel yourselves while the planner coordinates the events.
Do I need a welcome event?
It is not required. Many couples choose one so guests who travel can meet before the wedding day, and a planner can organize it for you.
