Wedding invitations: a guide for pros

What customers ask, how to win the job, and what to put on your profile.

Offering wedding invitations

You design and print wedding invitation suites, including save the dates, invitations, RSVP cards and details cards. Couples want a coordinated look, correct wording and cards that arrive on time.

What customers ask

  • Can you match the suite to our theme and colors?
  • How many proof rounds do we get?
  • Do you address and assemble the envelopes?
  • How early should we order to mail on time?
  • Can we reorder later with the same design?

How to win the job

  • On the first call, ask for the wedding date, the theme, the colors, the guest count and the mailing timeline
  • Bring samples of paper, finish and printing on a full suite, not only single cards
  • Ask for the wording and the guest list in writing, and check each name against the list
  • Put in the quote the cards, the paper and finish, the proof rounds, the printing count and the mailing services
  • Send a proof of every card, and mark which changes count against the included rounds
  • Confirm the mailing date and the printing schedule in writing
  • Save the design files and the print specification so the couple can reorder

What to put on your profile

  • Post photos of full invitation suites with the cards laid out together
  • List the paper types, finishes and printing methods you offer
  • Show your proof process and how revisions are counted
  • Describe your addressing and assembly services
  • Add the themes and styles you design most often

Follow-up that helps the customer

  • Offer matching thank you cards after the wedding
  • Suggest a reorder of the suite for a vow renewal or a later event
  • Recommend a matching sign or welcome card for the reception
  • Share a short mailing timeline so the couple knows when each card should go out

Licenses and permits

No license is usually required to design or print wedding invitations. Keep your business registration current, and keep a signed proof and an order record for each suite so the approved wording and count are on file.

Questions

Who is responsible for a wrong name or date on a printed card?

Check the proof. Once the client has approved a proof, the client is usually responsible for its content. State that rule in the contract and get the approval in writing.

Do I need a special license to print invitations?

No license is usually required for stationery work. Keep your business registration current and follow any local rules for home based or shop based work.

How should I handle a card that is damaged in printing?

Tell the client at once, reprint the damaged card at your cost if the damage was your error, and keep a record of the reprint.
