Balloon decorations: a guide for pros
What customers ask, how to win the job, and what to put on your profile.
Offering balloon decorations
You design and build balloon displays for parties and events. Clients want a bold look that holds up for the whole party and that is safe around guests, and you deliver both.
What customers ask
- Will the balloons stay full for the whole party?
- Can you build an arch that stands on its own?
- What happens if a balloon pops during the event?
- Do you use latex or foil, and is there a latex free option?
- Who takes the display down after the party?
How to win the job
- On the first call, ask for the event type, the venue, the colors and the size of the space
- Bring photos of arches, garlands and columns you have built, with the stand or base style shown
- Visit the venue or confirm the setup space and the rules on fixtures and stands
- Put in the quote the display size, the balloon count, the helium use and the removal time
- Show a plan for securing the display so it stays safe near children
- Offer a backup set of balloons for the event day in case of pops
- Send a short photo of the finished display before the event so the client can approve it
What to put on your profile
- Post photos of arches, garlands and columns from past parties
- List the event types you decorate, such as birthdays, showers and school events
- Show the stand, base and frame styles you use
- Describe the balloon types you work with and whether you offer latex free options
- Add a short video of a display being set up, with the venue's permission
Follow-up that helps the customer
- Offer a photo of the finished display for the client to share
- Suggest a second display for a photo area or a dessert table
- Recommend a balloon bouquet or gift balloon for the guest of honor
- Share a list of display ideas for the client's next celebration
Licenses and permits
No license is usually required to decorate events with balloons. Carry general liability insurance and keep a signed contract for each event. Check the helium handling rules for the place where you work and make sure your stock and storage meet them.
Questions
Do venues allow helium balloons?
Some do not. Ask the venue before you plan any helium display, and offer air filled alternatives if the rule requires it.
What if a display is too tall for the venue?
Measure the ceiling and the doorways before you build. Adjust the size or the shape and confirm the change with the client in writing.
How should I handle balloon waste after the event?
Remove what you placed and ask the client what they want done with leftover balloons. Keep the removal in the contract.
