Event decorating: a guide for pros

What customers ask, how to win the job, and what to put on your profile.

Offering event decorating

You design and set up decor for events, from linens and centerpieces to lighting and signage. Your clients want a finished room when they walk in, and you handle the installation and removal so they do not have to.

What customers ask

  • Can you match the decor to our theme and colors?
  • What is included in the setup and the teardown?
  • What happens if a rental arrives damaged?
  • Can you work within the venue's rules?
  • Do you show a layout before the event?

How to win the job

  • On the first call, ask for the venue, the theme, the color palette and the layout needs
  • Bring a mood board and photos of decor set up in a similar space
  • Visit the venue before you quote and note the load in path, the outlets and the hanging rules
  • Put in the quote each rental, each purchase, the setup window and the teardown time
  • Send a layout drawing for the client to approve before you order
  • Confirm the venue's rules in writing and build them into the plan
  • Name the person on the client side who approves changes before the event

What to put on your profile

  • Post photos of tablescapes, entrances and lighting from past events
  • List the event types you decorate, such as weddings, corporate events and birthdays
  • Show the rental stock you use and the styles it covers
  • Describe your setup and teardown process from load in to load out
  • Add photos of your signage and backdrop work

Follow-up that helps the customer

  • Offer a photo set of the finished space for the client to share
  • Suggest keeping a color and layout file so the next event can reuse the design
  • Recommend a seasonal refresh for clients who host regularly
  • Share a list of items that can be reused for the client's next event

Licenses and permits

No license is usually required to decorate events. Carry general liability insurance and keep a signed contract for each event, since venues often ask for proof of insurance before a decorator can load in.

Questions

Do venues require proof of insurance from decorators?

Many do. Keep a current certificate and send it to the venue before the event date.

What if the venue does not allow the decor I planned?

Tell the client in writing and offer an alternative that meets the venue's rules. Do not install anything the venue has not approved.

How do I handle a rental that is damaged on delivery?

Photograph the damage at once, notify the rental company and the client, and offer a replacement or a credit as agreed.
