CRM setup and management: a guide for pros
What customers ask, how to win the job, and what to put on your profile.
Offering crm setup and management
You configure customer relationship software, import contacts, build pipelines and automations and train client teams. Your job is to leave the client with a clean system they understand and can change without you.
What customers ask
- Which CRM should I use, and what will the subscription cost me each month?
- Can you move my contacts from my old system without losing their history?
- How long until my team is using it every day?
- Will I be locked into your setup, or can another person take it over?
- Can you connect it to my email and phone system?
How to win the job
- On the first call, ask how leads arrive today, who follows up and where the process breaks, then write the stages in the client's own words.
- Show a sample pipeline and one automation built for a similar business, with client details removed, so the client sees the result before you start.
- Put the data cleanup in the quote as its own step, with the duplicate rules you will apply and the fields you will map.
- Test every automation with a test contact before it goes live, and show the client the results.
- Hand over a one page guide for each role, such as owner, sales rep and office manager, listing what that person does in the CRM.
- Set admin access in the client's own account and confirm in writing who holds each role.
What to put on your profile
- List the CRM platforms you have set up and the ones you have trained teams on.
- Describe the sales processes you set up most often, such as service calls, estimates or appointment booking.
- Name the integrations you have connected, such as email, calendar, forms or phone systems.
Follow-up that helps the customer
- Schedule a review at thirty days to check which stages go unused and which fields are left blank.
- Offer a short refresher when the client adds a new team member or a new service line.
- Suggest a periodic data cleanup so duplicates and old records do not build up again.
Licenses and permits
No license is usually required to set up customer software. Keep any platform partner or training certificates current where the platform asks for them, and check your state or local business registration rules before you take clients.
Questions
Do I need a certification to do this work?
Usually not by law, but many platforms offer training and partner programs. Keep any you earn current and list them so clients can check them.
How do I avoid breaking a client's data?
Export or back up the data before the import, test on a copy when the platform allows it and record every change you make to fields and automations.
What if the client's team does not use the system?
Plan the training around their daily tasks and check usage in the first month. A clean setup that nobody uses does not help the client, so raise it early.
