CRM setup and management: what to know
What the job involves, what changes the price, and what to ask a pro.
What crm setup and management is
A CRM specialist sets up customer relationship software for your business, imports your contacts, builds the pipeline stages and automations, and trains your team to use them. Businesses hire one when leads get lost, follow ups are missed or the current tool was never set up for how they sell.
Signs you need it
- Leads are kept in email, texts and spreadsheets, and no one can see the full history of a customer
- Follow ups are missed because no one knows who owns a lead or when to contact them
- Your team has a CRM but uses it inconsistently, so the reports do not match what really happens
- You are moving to new software and need contacts and deals brought over without duplicates
- You want reminders or messages to fire automatically when a lead reaches a certain stage
What the pro does
- Map how your team sells today and list the stages a lead or customer moves through
- Set up the software's users, roles and permissions so each person sees what they need
- Clean and import contacts and past deals, removing duplicates and fixing fields that do not match
- Build pipelines, required fields and automations such as reminders, owner assignments and handoffs
- Connect the CRM to your email, calendar, forms or phone system where the software supports it
- Train your team on your own pipeline, then check usage and adjust the setup in the first weeks
What changes the price
Every job is different, so we do not publish prices. These are the things that move the quote up or down.
- Which CRM you already use or plan to use, since each platform has different setup steps
- How many contacts, deals and years of history must be cleaned and imported
- How many integrations are needed with email, calendars, forms, phone systems or accounting tools
- How many pipelines, stages and automations your sales process needs
- The number of users to set up and train, and whether training is one session or ongoing
- Whether custom reports, dashboards or data moved from another system are part of the job
What a written quote should spell out
- The CRM platform and plan the setup is for, and whether the software subscription is billed separately
- Each pipeline, stage and automation to be built, with the trigger for each one
- How many contacts and deals will be imported, and how duplicates and bad records will be handled
- Each integration included, and the access you must provide for it
- The training sessions, who attends and what each session covers
Questions to ask before you hire
- Which CRM do you recommend for a business like mine, and why not the others?
- Can you show me a sample pipeline or automation you have built for a business like mine?
- How will you handle duplicate contacts and old records that do not fit the new fields?
- Who will own the admin account after setup, and how do I get access if you are unavailable?
- What support do you give after the first month when a problem comes up?
- Will you document the setup so my team can change stages and automations without you?
Red flags
- Asks for full admin access to your CRM or email accounts without a written agreement that limits it
- Pushes one platform without explaining how it fits your sales process
- Imports your full contact list before cleaning it, so duplicates and bad data land in the new system
- Keeps the setup only in their own account, so you cannot export or edit it later
What you can do yourself
You can list your current sales steps, export your contacts to a spreadsheet and decide who on your team owns each stage. Hire a CRM specialist when you need data moved from another system, several integrations connected, or automations that send messages to customers and could cause harm if built wrong.
Licenses and permits
No license is usually required to set up a CRM. Ask for platform training certificates, examples of finished setups with client details removed and a written data handling plan; check with your state or local business licensing office if you are unsure what registration a contractor needs.
CRM setup and management questions
Can I keep my existing spreadsheets?
In most cases, yes. A specialist can import them, but the spreadsheet should be cleaned first, with one row per contact and consistent column names.
Will my team need a lot of training?
It depends on how many people use the system and how many steps your process has. A session built on your own pipeline usually covers the core tasks, with follow up sessions for reports.
Who owns my data after setup?
You should. Ask for the data and the setup to live in your account, and get the access details in writing before you sign off.
