String ensemble: a guide for pros
What customers ask, how to win the job, and what to put on your profile.
Offering string ensemble
You offer string ensemble performances for ceremonies, dinners and formal events. This guide covers what customers ask, how to win the booking and what to show on your profile.
What customers ask
- How many players will come, and can I see a recording of the group?
- Can you play arrangements of modern songs I love?
- How much space do you need in the room?
- Do you bring stands and amplification?
- What happens if one player cannot attend?
How to win the job
- On the first call, ask about the event type, the moments that need music, the room size and the number of players the customer wants
- Send a recording of the group playing live at a ceremony or dinner, labeled with the number of players
- Put the player count, the program for each moment, the setup time and the space needs in the written quote
- Share a sample program with classical pieces and a few arrangements of modern songs
- Confirm the room layout, power and any amplification needs with the venue before the event
- Ask for the customer's song and piece list at least two weeks ahead, and confirm arrangement needs early
- Name the backup plan for a player who cannot attend, and confirm the lineup before the date
What to put on your profile
- Recordings of the group playing live at ceremonies and dinners, labeled by player count
- Photos of the group in a venue like the ones your customers book
- A sample program of classical pieces and arranged modern songs
- Your insurance status and the venue types where the group has performed
Follow-up that helps the customer
- Offer a program review call to confirm pieces, arrangements and the order of each moment
- Suggest a rehearsal time at the venue if the room is new to the group
- Recommend a featured solo for a special moment, with the timing agreed in advance
Licenses and permits
No state license is usually required for string ensemble work. Carry general liability insurance, any local business license that applies and a written note of the venue's noise rules, and check state and local requirements with your licensing agency before taking jobs.
Questions
Who handles licensing for arrangements of modern songs?
Ask the venue and the customer what they expect. Check any permission needed for arranged versions of songs and note the answer in the contract.
How do I plan the room layout?
Ask the venue for the floor space and the sight lines. Plan the stands and seating so every player can see the others and the guests can hear the group.
What if the customer wants a bigger group?
Confirm the extra players and the price before accepting. Check the venue space and the setup time for the larger group.
