Jazz band: a guide for pros
What customers ask, how to win the job, and what to put on your profile.
Offering jazz band
You offer jazz band performances for receptions, restaurants and private events. This guide covers what customers ask, how to win the booking and what to show on your profile.
What customers ask
- Can you play quietly during dinner and then pick up the energy for dancing?
- Which standards do you play, and can I request songs?
- How many musicians will attend, and can I see a recording?
- Do you have a vocalist, and what songs can they sing?
- What volume do you play at during dinner?
How to win the job
- On the first call, ask about the event mood, the setting, the timing of dinner and the moments that need featured music
- Send a recording from a similar setting, labeled with the event type and room size
- Put background sets, featured sets, set lengths and volume plans in the written quote
- Share a sample set list with standards and any originals, so the customer can see your style
- Confirm the room layout, the stage space and the power source with the venue before the event
- Offer a short list of songs for the customer to choose from, so the set matches their taste
- Name the backup plan for a musician who cannot attend, and confirm the lineup in writing
What to put on your profile
- Recordings of background sets and featured sets, labeled by setting
- Photos of your band in a room that looks like a restaurant, reception or gala
- A list of the standards and eras you play best
- Your insurance status and the venues where you have performed
Follow-up that helps the customer
- Offer a set list review two weeks before the event to lock standards and any special requests
- Suggest a short plan for dinner music and dancing so the customer knows when the volume changes
- Recommend a plan for a vocal feature or a moment for a special song, with a time set in advance
Licenses and permits
No state license is usually required for jazz band work. Carry general liability insurance, any local business license that applies and a written note of the venue's noise rules, and check state and local requirements with your licensing agency before taking jobs.
Questions
Do I need music licensing for standards?
Venues often hold public performance licensing for recorded music. Ask each venue what it covers and what the band is responsible for, and note the answer in the contract.
How do I set the volume for dinner?
Agree on a target level with the venue before the event. Plan background sets that stay below conversation level and check the room during the first set.
What if a guest asks for a song we do not play?
Say so politely and offer a similar standard from the set. Let the customer know ahead of time whether the band takes unplanned requests.
