A cappella group: a guide for pros

What customers ask, how to win the job, and what to put on your profile.

Offering a cappella group

You offer a cappella vocal performances for weddings, parties, corporate events and venues. This guide covers what customers ask, how to win the booking and what to show on your profile.

What customers ask

  • Can you arrange a song I love for our event?
  • Do you need a microphone, or can you sing without one?
  • How many singers will come, and can I hear a recording?
  • Where will the group stand, and will guests be able to see you?
  • What happens if one of your singers cannot attend?

How to win the job

  • On the first call, ask about the event type, the moments to sing, the room size and the songs the customer loves
  • Send a recording of the group singing live, with the number of singers and the setting listed
  • Put the singer count, the program, the arrangement plan, the setup time and the amplification needs in the written quote
  • Share a sample set with classic and modern songs so the customer can see your range
  • Confirm the space for the group and the sight lines with the venue before the event
  • Give the customer an arrangement timeline in writing, and ask for the song choice early
  • Name your backup plan for a singer who cannot attend, and confirm the lineup before the date

What to put on your profile

  • Live recordings of the group, with the number of singers listed
  • Photos of the group in a venue or event setting
  • A sample set list of classic and modern arrangements
  • Your insurance status and the venue types where the group has performed

Follow-up that helps the customer

  • Offer a set list review call to confirm the arrangements and the order of each moment
  • Suggest a short rehearsal at the venue if the space is new to the group
  • Recommend a surprise plan for a toast or a dedication, with the timing agreed in advance

Licenses and permits

No state license is usually required for a cappella performance. Carry general liability insurance, any local business license that applies and a written note of the venue's noise rules, and check state and local requirements with your licensing agency before taking jobs.

Questions

Who handles licensing for custom arrangements?

Ask the venue and the customer what they expect, and check whether any permission is needed for arranged versions of songs. Note the answer in the contract.

How do I keep harmonies tight in a loud room?

Ask the venue for a short test in the space. Position the group so each singer can hear the others, and adjust the spacing for the room.

What if the customer wants a last-minute song?

Accept only if the group already knows it or can learn it in time. Confirm any change in writing so the group has the final list.
