Event wait staff: what to know

What the job involves, what changes the price, and what to ask a pro.

What event wait staff is

An event wait staff team serves food and drinks, clears tables, helps with setup and cleanup, and assists guests at parties and receptions. Hosts hire wait staff when they need people on the floor to keep the meal flowing and the guests looked after.

Signs you need it

  • You are hosting a sit down dinner and need people to serve the courses and clear the tables
  • Your guests will be on their feet and you need someone to keep their glasses full
  • The event has setup and cleanup that you cannot manage while you host
  • You want the staff to dress in a consistent style and work as a team
  • You want a team that knows how to serve food safely and handle plates and glassware

What the pro does

  • Takes the guest count, the service style and the start and end times
  • Sets up the tables, the service station and the buffet with the caterer
  • Serves food and drinks during the event and keeps the tables clear
  • Handles plates, glassware and any spills with care
  • Helps guests with questions and directs them to the restrooms and the exit
  • Breaks down the service area and clears the equipment at the end

What changes the price

Every job is different, so we do not publish prices. These are the things that move the quote up or down.

  • Number of staff and the hours they work
  • Service style, such as plated service, buffet support or passed appetizers
  • Setup and breakdown time, which often adds hours
  • Attire and any special uniform requirements
  • Whether a lead is included and how many leads the event needs
  • Travel distance and the arrival time before the guests

What a written quote should spell out

  • Number of wait staff and their hours, including setup and breakdown
  • Service style and what the staff will do, such as clearing and refilling
  • Attire and what the staff bring with them
  • Whether a lead is on site and how the lead is reached
  • Cancellation and no show terms

Questions to ask before you hire

  • Are your staff trained in food service and in handling glassware and plates?
  • Do your staff hold food handler cards, and do they serve alcohol?
  • Who leads the team on the day, and how do I reach them?
  • How do you handle a staff member who does not show up?
  • Can the staff clear tables between courses without interrupting the guests?
  • What attire do the staff wear, and can I see a photo?

Red flags

  • Cannot say who leads the team on the day
  • Does not confirm the staff's food handling training
  • Will not share the attire rules in writing
  • Quotes a team size with no list of the tasks each person does
  • Has no plan for a no show

What you can do yourself

A host can ask a few friends to pass appetizers, clear plates and pour water for a small party, with clear tasks and start times. Hire a wait staff team for a sit down dinner, a large guest count, or an event where the staff must be trained, on time and under a lead.

Licenses and permits

Food service staff commonly need a food handler card from the local office that oversees food safety, and staff who serve alcohol commonly need training or a card as the local rules require. Serving alcohol commonly needs a license or permit held by the host, the venue or the staffing company. Check these rules before the event.

Event wait staff questions

Who pays for broken glassware?

Read the agreement. Ask whether breakage is included in the quote or charged separately, and how the venue handles it.

Should staff serve alcohol?

Only if the license and the local rules allow it. Alcohol service commonly needs a license or permit, so confirm who holds it and whether the staff are trained for it.

Should I tip the staff?

Ask the staffing company how tips are handled. Some pass tips along, and others add a service charge. Confirm the policy in writing before the event.
