Dessert catering: what to know
What the job involves, what changes the price, and what to ask a pro.
What dessert catering is
A dessert caterer supplies desserts such as pastries, cakes, tarts and sweet tables for your event, displayed and served with matching plates and decor. Hosts hire one for weddings, showers, office celebrations and parties where the sweets are a feature of the day.
Signs you need it
- You want a sweet table with a range of treats that matches the party's colors
- The guest count is large and you need enough desserts for everyone
- You want a dessert that fits a dietary need, such as gluten free or nut free
- You do not have time to bake, arrange and serve the desserts yourself
- You want the desserts displayed in a way that looks finished for photos
What the pro does
- Takes the guest count, the dessert types, the flavors and the dietary needs
- Plans the sweet table or the dessert service, including the number of pieces per guest
- Bakes the desserts at a permitted kitchen and packs them for delivery
- Sets up the display with stands, plates, napkins and any decor you chose
- Refills the table during the event and keeps the desserts fresh
- Clears the table and removes the leftovers and display items afterward
What changes the price
Every job is different, so we do not publish prices. These are the things that move the quote up or down.
- Guest count and the number of dessert pieces needed
- Variety of desserts and whether each guest gets a choice
- Display stands, tiers, decor and matching plates
- Dietary options such as gluten free or nut free desserts
- Delivery distance and whether the caterer sets up on site
- Whether the caterer serves and refills the table during the event
What a written quote should spell out
- Each dessert type, with the number of pieces and the flavors
- Dietary options and how they are labeled and kept separate
- Display items, plates, napkins and stands included
- Delivery and setup times, and whether refills are included
- Cleanup and removal terms for the display
Questions to ask before you hire
- Which desserts contain nuts, dairy, gluten or eggs, and how are they labeled?
- How many pieces do you recommend per guest for a sweet table?
- How do you keep the desserts fresh in a warm room?
- Do you set up the display, and do you refill it during the event?
- Can you match the colors and decor to our theme?
- Do you hold a health permit, and where are the desserts baked?
Red flags
- Cannot list the allergens in each dessert
- Will not label nut or gluten content on the display
- Leaves cream or custard fillings out in a warm room without a plan
- Has no refill plan for a long event
- Asks for payment before the flavors and the count are confirmed
What you can do yourself
A host can set out a simple dessert table with store bought cookies, fruit and a few homemade treats, labeled with the allergens and kept covered. Hire a dessert caterer for a large count, several kinds of pastries or cakes, a themed display, or a menu that must be made to a standard and refilled through the event.
Licenses and permits
Food businesses commonly need a health permit or a food handler card from the local office that oversees food safety. Ask the caterer for its permit and check the rules for the kitchen where the desserts are baked and the site where they are served.
Dessert catering questions
How many desserts do I need for a sweet table?
Ask the caterer for its portion guide. Tell them the age range of the guests, the length of the event and whether a cake is also being served.
Can the desserts be labeled for allergens?
Yes. Ask the caterer to label each dessert with its main allergens, and keep the nut and gluten items on separate stands if guests need that separation.
What happens to the display after the event?
Ask the caterer whether it takes the display away or leaves it for you. Confirm the removal time in the agreement.
