Coffee catering: what to know

What the job involves, what changes the price, and what to ask a pro.

What coffee catering is

A coffee caterer serves brewed coffee, espresso drinks and extras at events, using a mobile cart or an on site setup with cups and condiments. Hosts hire one for weddings, conferences, office meetings and morning events where guests want a good cup without a staff member making it.

Signs you need it

  • You want espresso drinks for a wedding reception, conference or office event
  • The venue has no coffee service and guests will expect a good cup through the day
  • You want a mobile cart with a barista so guests are served quickly at a busy time
  • You want milk alternatives, syrups and extras for guests with different tastes
  • You want the coffee station set up before guests arrive and cleared when the event ends

What the pro does

  • Takes the headcount, the drinks you want and the hours of service
  • Sets up the cart or station with the espresso machine, grinder, water and cups
  • Brews coffee and espresso drinks for guests at the agreed times
  • Offers milk alternatives, syrups and cups with clear labels
  • Refills supplies and keeps the station clean during the event
  • Packs up the equipment, removes waste and clears the area

What changes the price

Every job is different, so we do not publish prices. These are the things that move the quote up or down.

  • Headcount and the number of drinks served across the event
  • Number of baristas and the length of service
  • Mobile cart or on site setup and the equipment needed
  • Drink menu, including specialty drinks, syrups and milk alternatives
  • Cups, lids, sleeves and other disposables
  • Water and power needs at the venue

What a written quote should spell out

  • Service hours and the number of baristas on site
  • Drinks included and the milk, syrups and extras
  • Equipment, including the espresso machine, grinder and cups
  • Water and power source the caterer needs from the venue
  • Setup, service and cleanup times

Questions to ask before you hire

  • What water and power do you need from the venue, and where should the cart sit?
  • Which milk alternatives do you offer, and are they kept separate for allergies?
  • How many drinks can one barista serve during a busy stretch at my headcount?
  • Do you supply the cups, lids, sugar and stirrers?
  • What happens if the machine breaks during the event?
  • Do you hold a health permit, and where is the milk stored?

Red flags

  • Cannot say how much water and power the setup needs
  • Does not show the milk alternatives or label the syrups
  • Has no backup plan if the machine fails
  • Will not say how many drinks one barista can serve in an hour
  • Asks for payment before the drink menu is confirmed

What you can do yourself

A host can set up a simple coffee station with a drip brewer, a few carafes, cups, sugar and creamer, labeled with the dairy and milk alternatives. Hire a coffee caterer for a busy event, espresso drinks, a mobile cart with a barista, or a service that must keep moving through a long day.

Licenses and permits

Food businesses commonly need a health permit or a food handler card from the local office that oversees food safety, and drinks made on site and milk stored for guests fall under those rules. Ask the caterer for its permit and staff cards, and check the rules for the venue where the coffee is served.

Coffee catering questions

How much coffee should I plan per guest?

Ask the caterer for its portion guide. Tell them whether coffee is a main drink or one of several, and what time guests will arrive.

Can the coffee be served with milk alternatives?

Yes, if the caterer offers them. Ask which milk alternatives it stocks and whether they are kept separate for guests with allergies.

Do I need to provide power for the cart?

Usually, yes. Ask the caterer what power it needs, and confirm the outlet and the cord route with the venue before the day.
