Event photography: what to know

What the job involves, what changes the price, and what to ask a pro.

What event photography is

A photographer covers parties, conferences and gatherings, capturing candid moments, groups and details, then delivers edited photos promptly. People hire one when they want a record of a shared event without the host having to take the photos.

Signs you need it

  • You are hosting or attending an event where you want a record of the people and the moments
  • You need a candid look at the crowd, the speakers, the decor and the guests
  • You want edited photos delivered quickly, often within a short window after the event
  • You want group photos taken at set times so everyone can be found
  • You want an event record for a company, a club, a school or a charity
  • You want a photographer who can work quietly in a busy room

What the pro does

  • Asks about the event schedule, the key moments, the guest count and the dress code
  • Plans a shot list with group photos and the moments you want captured
  • Arrives early to scout the venue, the light and the best spots
  • Moves through the event to capture candid moments, speakers and details
  • Takes group photos at set times and asks guests to gather when needed
  • Edits and delivers the selected photos within the agreed window

What changes the price

Every job is different, so we do not publish prices. These are the things that move the quote up or down.

  • Length of coverage and the number of hours on site
  • Number of guests and the number of group photos planned
  • Whether the photographer needs an assistant for a large event
  • Speed of delivery, such as a same-day preview or a faster turnaround
  • Number of edited images delivered
  • Travel distance to the venue
  • Whether a print or a shared online gallery is included

What a written quote should spell out

  • Coverage hours and the start and end time
  • Shot list, including group photo times and the key moments
  • Number of edited images and the delivery date
  • Delivery format, such as a shared online gallery or files
  • Usage rights for the images, including whether the photos can be shared publicly
  • What happens if a photographer cannot attend or equipment fails

Questions to ask before you hire

  • How many photos will you deliver, and how soon after the event?
  • Will you take group photos, and how do you organize them quickly?
  • Can I see a full gallery from an event like mine?
  • Do you bring a backup camera and extra memory cards?
  • How do you work with the host or the venue's rules on photography?
  • Who owns the photos, and can I share them with guests?
  • Do you carry liability insurance that covers you and your equipment at the venue?

Red flags

  • They show only highlight photos and no full event galleries
  • They have no plan for group photos or for the time they will need
  • They promise delivery within a time frame they cannot keep
  • They ignore the venue's rules on where photographers can stand
  • They will not confirm the usage rights or the delivery date in writing

What you can do yourself

You can make a shot list of the people, groups and details you want, and tell the photographer the key times. You can also let guests know a photographer will be present so they can plan for photos. Hire a photographer for the candid coverage, the group photos and the editing, since capturing people naturally while keeping the event moving takes skill.

Licenses and permits

No state license is usually required for event photography, so ask for proof of liability insurance and full event galleries instead. Some venues and organizers have their own rules about photographers and recording, so check those with the site before the event.

Event photography questions

Does an event photographer need a license?

Usually not a state license. Ask for insurance and full event galleries, and check the venue's rules about photography.

How quickly will the photos arrive?

It depends on the photographer and the number of images. Ask for a delivery window in writing and whether a preview is included.

Can guests see the photos?

Often yes, through a shared gallery. Check the usage rights in your contract and whether the gallery is private.
