Dancers for events: what to know

What the job involves, what changes the price, and what to ask a pro.

What dancers for events is

Dancers perform ballroom, cultural or modern routines at parties, galas and corporate events, in styles and costumes suited to the program. People book them for a formal dance, a cultural celebration, a corporate program or a surprise routine at an event.

Signs you need it

  • You want a featured dance during a gala, a dinner or a corporate program
  • You want a ballroom or cultural routine that matches your event's theme
  • You want a surprise dance for a couple, a guest of honor or a family member
  • Your program needs a timed moment that a dance can fill well
  • You want dancers who can perform in costume for a themed event
  • You want a performance that fits a formal room or a stage

What the pro does

  • Asks about the event program, the style of dance you want and the timing of the moment
  • Chooses or choreographs routines that fit the music, the space and the audience
  • Arrives early to check the floor, the stage and the music system
  • Performs the routines at the times agreed with the host or program planner
  • Adjusts the routine if the floor or the timing changes
  • Packs up costumes and clears the area

What changes the price

Every job is different, so we do not publish prices. These are the things that move the quote up or down.

  • Number of dancers and whether a partner or group is needed
  • Number of routines and the total length of the performance
  • Whether the routine is choreographed to a song you provide or a new edit
  • Costume detail and any props or lighting needs
  • Stage and floor needs, including whether a dance floor must be provided
  • The number of routines and whether costumes must match a theme
  • Whether the dancers teach a routine or join guests on the floor

What a written quote should spell out

  • Number of dancers, their roles and the number of routines
  • Dance styles and the music plan, including who edits the track
  • Stage or floor needs and any dance floor the venue must provide
  • Costume and prop details included in the booking
  • Setup, rehearsal and teardown times
  • What happens if a dancer cannot attend

Questions to ask before you hire

  • Which dance styles do you perform, and can I see a video of a routine at a formal event?
  • How many dancers will come, and will the same dancers attend the date?
  • Can you choreograph a routine to a song I choose, and how long does that take?
  • What floor do you need, and do you bring a mat or a floor?
  • Can you join guests on the floor, and how do you invite them?
  • What is your plan if one dancer is sick on the day?
  • Do you carry liability insurance that covers the dancers and the audience?

Red flags

  • They cannot show a video of a routine at an event like yours
  • They do not ask about the floor, the stage or the timing of the program
  • They promise a routine with no time to choreograph or rehearse it
  • They plan to dance on a floor they have not seen or checked
  • They will not confirm the number of dancers or the costumes in writing

What you can do yourself

You can choose the dance style, the song and the moment in the program. You can also check the floor for slippery spots and make sure there is space for the dancers. Hire dancers for the choreography, the rehearsal and the performance, since a clean routine on a real floor takes preparation and experience.

Licenses and permits

No state license is usually required for event dancers, so ask for proof of liability insurance and references from similar events instead. Venues often handle public performance licensing for recorded music, so confirm with the venue who covers it and check local noise rules with your state or local licensing agency.

Dancers for events questions

Do dancers need a license?

Usually not a state license. Ask for insurance and references, and check with the venue about music licensing and any floor rules.

Can dancers perform during a dinner?

Many can. Ask whether the routine is a short performance between courses or a featured moment, and agree on the timing with the host.

Do I need to provide a dance floor?

Ask the dancers whether they need a sprung floor or a mat. Confirm the floor with the venue and check it for slips before the performance.
